Buyers sit on a sample for thirty seconds in an air-conditioned showroom and decide mesh or fabric. That tells you almost nothing about a conference chair, because the two things that actually decide it — heat and cleaning — only show up after an hour in a real room. So we ask about the room, not the sample.
How each one behaves when the room gets warm
A meeting room fills with people and equipment and heats up fast, especially a glass-walled one under ceiling lights. High-performance mesh has an open weave that lets air move through the back, so it runs noticeably cooler — the reason it gets recommended for hot, humid markets where an upholstered back traps heat against the spine. Upholstered fabric or leather feels warmer and softer at first touch and holds that warmth, which is pleasant in a cold climate and miserable in a tropical one. If your market sits in high humidity for much of the year, mesh is the default, not the upgrade.
Cleaning is the spec nobody writes down
Conference chairs get used by different people every day, and in clinics, training centres and shared offices that means they get wiped down constantly. A good mesh back wipes clean and dries fast, and there is no foam to hold a spill or a smell — which is why facilities teams running large fleets lean mesh for lower maintenance. Upholstery looks richer but absorbs, stains and needs proper cleaning, and a fabric meeting chair in a busy public room starts to look tired faster than its frame wears out. For a flagship boardroom used by the same few people, that barely matters; for a shared training room, it matters a lot.
The spec that surprises contract buyers: fire and the frame
A meeting chair going into a hotel, a hospital or a public building often has to meet a fire requirement on the seating materials, and this is where mesh and upholstery part ways again. Upholstered seats can be built to fire-retardant foam and fabric specs — UK contract buyers will recognise the BS 5852 cigarette-and-match tests — but that has to be specified up front, because retrofitting a compliant foam after the order is a re-tool, not a swap. Mesh has less combustible material to begin with but still needs the backing components checked. We will not call a chair compliant on our own say-so; we build to the named test and arrange the certificate per order so your tender does not stall at the fire line. The frame is the other quiet cost: a meeting chair gets pushed, dragged and leaned on sideways far more than a desk chair, so the weld points and the tube gauge matter more than the cushion, and we spec those to the same BIFMA/EN methods we use across the range.
The trade-off, and the sag question
Here is the honest tension. Quality mesh holds its tension, resists sagging better than soft foam, and cleans easily — but cheap mesh is the worst of both worlds, sagging at the edges and looking limp within a year, so the grade of mesh and the frame it is stretched on matter more than the word "mesh" on the spec. Upholstery hides a multitude of cheaper construction sins and feels plush on day one, but a low-density foam under that fabric compresses and the seat goes flat. The decision is not mesh-good, fabric-bad; it is which failure mode you can live with in your room. We quote the mesh grade and, on upholstered chairs, the foam density in writing rather than leaving either vague.
Colour and pattern feed into the cleaning question too: a mid-tone fabric hides the marks a busy meeting room collects far better than either a pale seat that shows every coffee ring or a dark one that shows every speck of lint, so for a shared room we steer buyers to a mid-tone whichever material they pick.
